Take control of your visualizations and stories for seamless teamwork

Imagine you’re working on an important project, and you’ve created a detailed data visualization that’s crucial for its success. You want to collaborate with your team, but you also don’t want others to make changes to your carefully crafted work.

Private, restricted and locked projects have been frequently requested. We heard you – and so, we are introducing our latest collaboration feature: sharing permissions. It empowers you to manage who can view and edit your projects and stories, granting you the control you need.

Sharing permissions are now available to all Flourish users on Publisher and Enterprise plans.

How sharing permissions work

We know teamwork is crucial, especially when it comes to powerful data storytelling. Collaboration brings different perspectives to the table and helps ensure that the final product is of the highest quality.

This new set of permissions will transform how you work and collaborate on data visualizations and storytelling projects in Flourish.

Sharing permissions enables seamless collaboration on visualizations with your team, while ensuring your work remains private, secure, and easily accessible by members in your organization.

You have three options:

  1. Keep your work private (restricted access)
  2. Share within your organization (view access)
  3. Enable collaboration (edit access)

Three options to boost team collaboration

Previously, every visualization created within your organization was visible and editable by all team members.

However, there may be situations where you’d like to privately experiment with ideas, or prevent others from seeing visualizations with confidential data. With sharing permissions, you can effortlessly select that a particular visualization or story is for your eyes only.

Once you publish your project, it will be public externally. In the editor, it stays private to you.

In some instances, you may want others to view your visualizations, especially those prominently featured on high-traffic websites or important assets, while still retaining control. Now, with sharing permissions, you have the flexibility to grant others permission to view – and duplicate – while being the only one who can make edits. This means your team members can duplicate your view-only project and use it as a starting point.

What does this mean for new and existing premium users?

Starting October 2023, new Flourish users that have subscribed to the Enterprise or Publisher plans will have their projects set as private by default. This ensures maximum privacy for your projects.

For Flourish users on a premium plan before October 2023, your default project settings will remain editable by your organization, to avoid any workflow disruptions. Your Admin can easily adjust the default settings to new projects if needed, and you can also modify sharing permissions on an individual project basis.

Approval workflows

In addition to sharing permissions, Flourish also offers approval workflows.

This means, as an admin, you can control who in your organization can publish visualizations. Depending on your preference, you can allow users in the organization to publish visualizations themselves – but only after they have been reviewed and approved by another team member.

Whether your goal is to control access, foster collaboration, or establish approval workflows, sharing permissions enhances collaboration within Flourish. It will transform the way in which you collaborate with your team on data visualizations and storytelling projects.
